What's actually included in the setup fee?
Configuration of the whole Flow Core platform for your business: your booking flow, your follow-up sequences, your invoice and email templates, integrations with your existing tools (Xero, Stripe, your website, your phone system), and migration of your existing customer data. Plus 1-on-1 training sessions until you're confident running the day-to-day. You walk into a system already set up the way your business runs — not a blank slate.
How does the 14-day free trial work?
Your first 14 days on Flow Core are free — no charge on your monthly plan while you settle in and make sure it's the right fit. If it's not for you, walk away inside the trial and you won't pay a monthly cent. The one-off setup build is separate: we always agree the scope and price with you in writing before any build work starts, so there are no surprises either way.
Can I switch plans later?
Yes — both directions. Upgrade any time, effective immediately, prorated for the rest of the month. Downgrade from your next billing cycle (we'll scale your configuration back gracefully). No upgrade or downgrade fees.
Is there a contract or lock-in?
No lock-in. Start with a 14-day free trial, then monthly billing. Cancel any time — no notice period and no exit fee. When you cancel, we export your data, hand you the logins, and make sure nothing breaks for your team during the wind-down. Setup fees are non-refundable once the build has begun.
What happens to my data if I cancel?
You own your data. Full export available any time — contacts, conversations, bookings, custom fields, automation logic. When you leave, we hand you the export and (if you want) help you import it into whatever you're moving to. No "pay to leave" fee, no held-hostage data.
How does billing work?
Monthly in advance, billed by card or direct debit on the 1st of each month. 10% GST added at invoicing (all displayed prices are ex-GST). Setup fee invoiced 50% on signing, 50% on go-live. Net-14 payment terms on the setup invoice. Receipt and Xero-compatible invoice emailed automatically.
Are there extra fees beyond setup + monthly?
SMS and AI receptionist call costs are passed through at cost (no markup) — typically $5–$30/month for most businesses depending on volume. You see exact usage in your Flow Core dashboard. Email is unlimited within fair use. No per-user fees, no per-contact fees, no module fees. What you see on this page is what you pay.
What if I need more support hours than my plan includes?
Two options: pay-as-you-go at $150/hr (ex-GST), invoiced monthly with detailed usage, OR upgrade to the next tier (usually more cost-effective if you're regularly going over). We'll tell you which option is cheaper based on your actual usage.
Do you offer annual pricing or discounts?
Yes. Pay annually upfront and get one month free (effectively ~8% off). Registered NFPs and charities get a 15% discount on monthly and 20% on annual prepay — happy to verify ABN. No discounts on setup fees, since the work is the same.
